Raimes Wine Tasting Barn – Private Hire Terms & Conditions

These Terms & Conditions apply to private, non-commercial hire of the Raimes Wine Tasting Barn (“the Venue”). By confirming your booking, you (“the Hirer”) agree to the following:

 

  1. Booking & Payment

1.1 A booking is only confirmed once the 50% deposit has been received.

1.2 The remaining balance is payable 14 days (2 weeks) prior to the event date.

1.3 If payment is not received by this date, Raimes reserves the right to cancel the booking and retain the deposit.

1.4  Payment can be made by bank transfer or card. We do not accept cash payments.

1.5  By paying a deposit for any booking the client confirms that they have read and understood and agree to be bound by these Terms & Conditions. The deposit payment constitutes full acceptance of these Terms and Conditions regardless of whether the Hirer has signed any additional documentation.

 

  1. Cancellation

2.1 By the Hirer:

– More than 14 days before the event: deposit is non-refundable, but no further fees are due. The deposit can be transferred to a new date, subject to availability and the Venue’s discretion.

– Less than 14 days before the event: full hire fee is payable.

2.2 By Raimes Venue:

If Raimes must cancel due to circumstances beyond reasonable control, any fees paid will be refunded in full. Raimes is not liable for additional costs incurred by the Hirer.

 

  1. Use of the Venue

3.1 The Venue is hired for private use only and must not be used for business events, ticketed events, or public gatherings without prior written agreement.

3.2 The Hirer may not transfer the booking to another party.

3.3 Hire times are as confirmed in the booking confirmation email and must be adhered to.

3.4  As a courtesy, and wherever possible, Raimes will try and facilitate access to the Venue before the start of the Hire Period.  This does not constitute an obligation nor can this be guaranteed.

3.5 Any music played at the event must be at a reasonable volume and respect the licensing restrictions of the Venue, and be agreed in advance.

3.6 The Venue can provide basic audio / visual equipment (Bluetooth speakers, screen) upon request and subject to availability.

 

  1. Guest Capacity & Behaviour

4.1 Maximum number of guests is as stated in the booking confirmation email.

4.2 The Hirer is responsible for the conduct and safety of all guests and any external suppliers.

4.3 Raimes reserves the right to request that any person whose behaviour is unsafe, disruptive, or disrespectful be removed from the premises.

4.4 The Venue will provide staff to ensure the smooth running of your event. In case we agree to a larger event, the Venue reserves the right to require additional personnel at the Hirer’s expense.

 

  1. Alcohol & Catering

5.1 All food and beverages must be purchased from the Venue. The client may bring a celebratory cake with prior approval from the Venue.

5.2 Should external caterers be approved in advance they must remove all waste and equipment at the end of the event.

5.3 A minimum food and beverage spend may apply to private hire events (subject to arrangement).

 

  1. Decorations & Furnishings

6.1 All decorations must be approved by the Venue prior to the event.

6.2 No nails, adhesives, tape or fittings may be used that could damage walls, beams, furniture or surfaces.

6.2 All decorations must be removed at the end of the hire unless agreed otherwise.

6.3 Naked flames, candles or fire features must be approved prior to the event.

 

  1. Cleaning, Damage & Loss

7.1 The Venue must be left in a tidy and reasonable condition.

7.2 Any damage caused by the Hirer, guests or suppliers will be chargeable.

7.3 A refundable damage/cleaning deposit may be requested depending on event type.

 

  1. Noise & Event Finish Time

8.1 Music must finish by 9:00pm unless an extension to 11pm is agreed in advance which may incur an additional charge.

8.2 The event must conclude and all guests must vacate the premises by the time stated in the booking confirmation email.

8.3 Guests must depart quietly and respectfully due to neighbouring properties and the rural setting.

 

  1. Parking & Access

9.1 Parking is available on-site but at guests’ own risk.

9.2 Access to vineyard and production areas is restricted unless arranged in advance.

 

  1. Liability

10.1 Raimes is not liable for any personal injury, loss or damage to personal property unless caused by our negligence.

10.2 The Hirer is responsible for ensuring the safety and appropriate behaviour of all attendees.

10.3 The Hirer is responsible for supervising children at all times, and preventing them from causing damage, disturbing other customers and/or roaming around the Venue.

10.4 No alcohol will be served to guests under the age of 18. ID verification will br required for any guest appearing under 25 years of age.

10.5 The Hirer is responsible for preventing any proxy drinking.

10.6 The Hirer agrees to comply with all fire safety regulations and any instructions from Venue staff.

10.7 No illegal substances or activities are permitted on the premises.

10.8 The Venue reserves the right to terminate the event and remove any guests if the Hirer or their guests breach these terms and conditions or behave in a disorderly, drunk or inappropriate manner.

 

  1. Force Majeure

Raimes shall not be liable for any failure to provide the Venue due to circumstances beyond its reasonable control.

 

  1. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.
